Appointments and Cancellations
Please remember to cancel or reschedule appointments at least 24 hours in advance. Cancellations or rescheduled sessions that are not received at least 24 hours in advance may incur a fee of up to $75. This is necessary because your appointment time is reserved exclusively for you.
We understand that unexpected illness can occur. Late cancellations due to acute illness will generally not be charged. However, if late cancellations (for any reason, including illness) occur more than three (3) times within a calendar year, we may need to reassess the appropriateness of ongoing treatment. Consistent attendance is a critical component of therapeutic progress and growth.
The standard session length for psychotherapy is 50 minutes. Any request to change session length should be discussed and scheduled in advance with your therapist.
If you arrive late to a session, your session may be shortened to ensure that other appointments begin on time.
All outstanding balances must be paid before the next scheduled session. Appointments may be canceled if a balance remains unpaid within 24 hours of the next scheduled session.
Telephone Accessibility
If you need to contact your therapist between sessions, you may leave a voicemail, send a text message, or email. Therapists are often not immediately available, but will make every effort to respond within 24 hours.
While face-to-face sessions are preferred, phone or video sessions may be arranged when you are out of town, ill, or need additional support.
In case of a mental health emergency, please call 911 or go to your nearest emergency room.
Social Media and Telecommunication
To protect your confidentiality and maintain clear professional boundaries, your therapist will not accept friend or contact requests from current or former clients on social media platforms (Facebook, Instagram, LinkedIn, etc.). Doing so may compromise both your privacy and the therapeutic relationship.
If you have questions or concerns about online boundaries, please bring them up during your session.
Electronic Communication
Please note that email and text messaging are not secure forms of communication. These methods should only be used for scheduling or logistical matters, not for discussing clinical content.
While your therapist will attempt to respond in a timely manner, immediate replies cannot be guaranteed. Please do not use text or email for emergencies.
If services are provided by electronic means (such as video sessions), you understand that:
You may withdraw consent for telehealth services at any time without affecting your right to future care.
All existing confidentiality protections apply to telehealth sessions.
You have the right to access your records from telehealth sessions, and copies can be provided upon request for a reasonable fee.
No identifiable information or recordings will be shared with outside parties without your written consent.
While telehealth may provide benefits such as improved accessibility and continuity of care, there are limitations — including the therapist’s reduced ability to observe nonverbal cues that might otherwise inform assessment and treatment.
Minors
If you are a minor, your parents or guardians may be legally entitled to some information about your therapy. Your therapist will discuss with you and your parent/guardian what information may be shared and what may remain confidential to support your therapeutic process.
Termination of Services
Ending therapy is an important process that allows for reflection and closure. The appropriate length of termination depends on the length and intensity of treatment.
Your therapist may recommend termination after discussion and a closure process if therapy is no longer beneficial or if there are unresolved payment issues.
If therapy is terminated, or if you request a different provider, your therapist will provide a list of qualified referral options.
If you fail to schedule or attend appointments for three consecutive weeks without prior arrangement, it will be understood that you have discontinued services.
